Google calendaring limits

Open trask opened this issue 1 year ago • 3 comments

I kept hitting Google calendaring limits and problems with syncing, so for testing, I created a new Google calendar and copied in only the active OpenTelemetry meetings (which doesn't bring over invitees) and added only the newly proposed (for now mostly empty) google groups as meeting invitees.

Syncing against this test calendar was working great at first, but then I started hitting Google calendaring limits and syncing problems started occurring.

I looked at what Kubernetes is doing, and they have a more decentralized model where individual SIGs create their own calendars and then share their events over to a central calendar.

This decentralization could help avoid some limits.

Another possibility is to use a paid Google Workspace account, which should come with higher usage limits after 60 days.

This was brought up also in https://github.com/open-telemetry/community/issues/968#issuecomment-1034058908

Kubernetes was able to get their own GSuite organization, which makes managing the calendar somewhat easier. Apparently they were running into some kind of public calendar limitations, which might explain some of the weirdness that we're now experiencing with the calendar invites mailing list.

I've opened a CNCF service desk to pursue this option.

We got approval from CNCF this week on creating a paid Google Workspace account. I've started the process, and have opened a new CNCF ticket to verify domain ownership which is required before we can complete the creation process.

Google Workspace has been created, and we have pre-paid $100, now per https://support.google.com/a/answer/2905486, it may take up to 60 days for the calendaring use limits to be increased on our Google Workspace.

It's possible that our calendaring limits on the Google Workspace may already be higher than our current setup, so I'll give it a try since it would be nice to not need to wait for 60 days.
