Just checking in: @ValeriyaMetla @jessicaherling I know of a Zoe who is a writer, but not a Zoya. Is this maybe the same person, or Val did you mean someone who isn't a writer?
Yes it’s Zoe, I might have written it wrong.

[04/22/2022] Agenda and Notes
Attendees
Accountability and Support Check
- [ ] Review assignments for each team member
Priority items:
-
[ ] Review team allocation system (What worked? What didn't work?)
- [ ] Ensure that we have all roles covered for every booked session
-
[ ] Review/discuss any testing sessions that took place before meeting
- [ ] Preliminary feedback from Session 1:
- [ ] The tasks were a bit redundant and cut the flow of the participant. The website itself directs the user very well, so the participant was well ahead of the tasks and sometimes repeating what she did just to complete the task
- [ ] There is too much content on the research plan that is not possible to cover in 30 mins
- [ ] The intro was streamlined and it worked well (we should keep it short and sweet because of time constraints)
- [ ] The information we got from the open ended questions was more useful/rich than the Likert scales. We should reconsider keeping only what's relevant
- [ ] Due to time constraints we may not be able to do the user stories at all. What we have on the research plan is really an hour long session just with the standard tasks. We should also revisit this
- [ ] If people meet prior to the session starting on Zoom they should do it using their personal accounts because starting the call earlier eats into the 40 mins allowed
- [ ] The participant really liked the content/diction. She breezed through the website and was able to find her way around everything
- [ ] Maybe we should only keep the tasks about privacy and FAQs and then simply have the participant write the letter while we just take notes on how they do it and how they interact with the website
- [ ] Preliminary feedback from Session 1:
-
[ ] Compare the feedback above with any feedback from the second testing session
- [ ] Are there any repeated patterns/themes/issues that came up?
-
[ ] Develop a protocol for late participants
- [ ] After 10 minutes have participant reschedule the session or cancel
-
[ ] Potentially reopen Calendly if sessions are canceled/no shows and if we fall below 8 participants
Non-priority Items:
- [ ] Usability Testing Study (with Users)
- [ ] Rhianna to update on finalized document
- [ ] discuss specific tasks for usability testing, brainstorm
- [ ] Outreach Protocol
- [ ] Ana to share outreach protocol document

- [ ] Categorize feedback based on the key themes and mark parts that are relevant for design and development (e.g., link to the “send in an email” doesn’t work, include “word” format as an option for the letter (which would also be convenient for legal clinics would have it, etc)
- [ ] Potential method: map out the steps and put stickers underneath (this can be done in Miro)
- [ ] Tie findings to the measures identified in the research plan.
- [ ] Question, be critical, those are not actual users, so take into account age, education, but the race also, just even approximation from video, we need to make sure we understand deeper the background of the people and how it might reflect their opinions but also bias

New Meeting Items
- [ ] Val: updates from Bonnie
- [ ] Excel Sheet: usually when internal testing is done, every item of feedback needs to be converted into an issue on Github and assigned to the relevant place on the Kanban
- [ ] We still have some issues on Excel that are not yet on Github
- [ ] MSCoW (?) column is also something we need to work on;
- [ ] Bonnie suggested that after incorporating "must-have" feedback, we should do another round of internal testing before bringing the product to actual users
- [ ] Priorities should be geared toward next round of testing (not final launch) - to move us forward
- [ ] Need to differentiate between what is needed to move forward to testing with users vs things that would be nice, but are not critical now
- [ ] Pop-ups - Bonnie suggested removing some pop-ups and moving graphics to the page? (Val's notes on this are in the Excel sheet)
- [ ] Git-hub how-to guide created by Joanna can be used internally, but can't be posted on the Wiki because there is a pre-existing HfLA guide on Kanban
- [ ] FigJam for research brainstorm: screen share preview
- [ ] Throughout this week, team members can access the FigJam and post our thoughts/questions/goals related to planning for upcoming research/outreach
- [ ] Everyone should post their comments before next week's meeting (7/8)
- [ ] We can also look at past research, including: feedback from internal user testing. past research interview guides/questions that were asked, and past outreach documents
- [ ] Possibly start with outline of research proposal to share with Bonnie to ensure that we have the green light to proceed (we can look at previous outreach proposal as well for a starting point, but need to have a more concrete plan for logistics and how outreach would actually proceed)
- [ ] We need to be strategic with our outreach - stakeholders are very busy, so we need to make sure to make the most of our time with them and try to keep it as short as possible, no longer than necessary
- [ ] Need to be clear that we are researchers and are interested only in learning from them about their processes, be clear about privacy and protecting data
- [ ] Library outreach update:
- [ ] LA Public libraries completely wipe all data after each session, no data is preserved as soon as user logs out of the computer
- [ ] Tom will attach notes from outreach to the Github issue #62
- [ ] Alba will call libraries in PA, will also consider contacting public libraries in other states/counties to cross-reference

- [ ] https://hrdailyadvisor.blr.com/2015/11/05/how-a-public-library-approaches-computer-security/
- [ ] We are accumulated things that we need clarity on from Bonnie
- [ ] what would be expected from an organizational partner? is it simply: they gain from our product (in time effectiveness), and in return grant us access to their clients for user research? and then we'll include their name on our website? anything else? (Maybe Yumeng has clarity on this)
- [ ] the case for a legal advisor -- shall we draw up a list of potential people to ask?
- [ ] can we do a survey (Google forms) of legal professionals on terminology?
- [ ] can we recruit from the FB group Clear My Record to make expungement process journey maps to better understand the process from a user's perspective

Notes from Meeting
- [ ] Past Outreach Guide that could be adapted into a new step-by-step guide for outreach
- [ ] Usability research proposal
- [ ] Val meeting w/ Bonnie:
- [ ] 1) what would be expected from org partners? B: we need processes; Product (PMs) is responsible with partnership; they have initial meeting and after the relationship is established, then Research can follow-up; but a co-lead can be in that initial meeting;
- [ ] B: for survey re: terminology, legal advisor, etc, we need to add value to the orgs, e.g., service map; but partnership should be solidified before we start research
- [ ] B: or another option, for the terminology, that the survey is for a glossary that the legal pros can use (so that creates value for them); or a list of all legal clinics that we create that they can use
- [ ] the hard no is reaching out without processes
- [ ] B: legal advisor -- no, because we need to go through the same process; but also there's a youth justice project that is also has HfLA connects, so they might be able to share their advisors; Val is going to their meeting today
- [ ] B: survey -- is fine but we need to add value
- [ ] B: recruiting people from FB Group -- she likes the idea, but it's going to be some work because we need to make sure the consent is clear; 1) public-facing page on the Wiki w/ research plan + questions, 2) consent form
- [ ] [see example] (https://github.com/hackforla/internship/wiki)

- [ ] short survey for legal professionals (prospecting) -- will review
- [ ] terminological survey is okay; need to write up a short reasoning, methodology, and step-by-step plan, and the survey, for Bonnie to review
- [ ] database: Bonnie is definitely thinking within a national framework so we will have to plan for that
- [ ] the question is, what is the most efficient way to verify which states/counties require letters for expungement/pardon:
- [ ] contact other Clear My Record CfA brigades?

- [ ] call the DAs in every state? (this seems too time-intensive)
- [ ] outreach through ABA
- [ ] the question is, what is the most efficient way to verify which states/counties require letters for expungement/pardon:
- [ ] Outreach protocol -- let's pause this for now while these other things come together (since we won't be using this for some time in any case)
