[COMMUNITY] 2024-Q2 Theme Builder Collaboration Summit
Problem/Concern/Opportunity
The AnitaB.org team is interested in co-promoting project specific Open Source Collaboration Summits as smaller, in-person events that focus on education and collaboration. The Collaboration Summit approach is modeled after the OpenJS Foundations approach to Collaboration Spaces and Collaboration Summits.
We'd ideally like ot have a regional Collaboration Summit for Theme Builder quarterly and would like to create an inaugural event late in the second quarter of 2023. The initial thinking for this event follows - comments will be used to shape the final outcomes and track progress (to be discussed on our regular Community calls).

Proposed Solution
Inaugural FINOS Accessibility Theme Builder Collaboration Summit
- Small (at most 100 attendees?), in person event with a hybrid component that will provide the kickoff and one workshop virtually as well as on site.
- Ideally, hosted at Discover Financial's HQ in Chicago (we can use a smaller conference room or venue for the in person component depending on availability. Ideally, we would like space for at least 50 people, with presenation capabilities, wifi, and power strips for attendees.
- Mid-morning start (10am Central), with the event running for four hours (2pm Central)
- FINOS and/or AnitaB.org to handle registrations, and suggested $25 registration fee to cover refreshments
- Swag would be amazing if FINOS/AnitaB/Discover can provide...
- Marketing / Social Media by FINOS/AnitaB/Discover
- Registered attendees are added as collaborators to a new FINOS repository for 'Theme Builder Community'... for future outreach?
- Ideally, sponsorship from Figma with special access and discounts on tooling?
- Sponsorship from Deque for access and discounts on tooling for accessibility testing?
General format:
- Keynote and welcome
- Introduction to Theme Builder Workshop
- Review open issues for Design, SDK, Website (other?) and form collaboration groups for attendees to work on issues
- Closing remarks and swag
Option for people to stay past the closing remarks for ongoing work (keeping the space available and staffed until 5pm)
Resources needed:
- Space for event (from Discover?)
- Lunch (from sponsor? Figma or Deque?
- Zoom link for hybrid components (from FINOS)
- Presentations for kickoff and closing remarks
- Workshop
- Organized issues for Design, SDK, Website, and other
- Mentors/maintainers to participate in person (at least 1 mentor for every 15 people, min 3 max 10)
- Registration logistics and ability to process small registration fees (FINOS or AnitaB?)
- Event coordinator
- Marketing and promotion support (AnitaB, FINOS, Discover)
- Collaboration Space Hosts / Organizer team (Lise, Cody, Paula, others?)

- Olga to work on space and dates, work with Lise on Figma and Deque contacts for sponsorship, Olga working on legal language for amplification partners (AnitaB / FINOS)
- Paula to communicate to partners (AnitaB / FINOS) that Discover will own / produce marketing content - AnitaB / FINOS can review / partner
- Olga to tee this up with Discover (include lessons learned form last year)

3/20: Planning Meeting Notes
- Event date/time/location: May 16, 2024 at the Discover 606 office, starting at 5pm in lincoln park room as well as surrounding huddle rooms/working areas
- breakout groups could cover debugging, design thinking, how to start
- event would be used as a starter but then would expect attendees to join the community and FINOS slack channel to continue working on the issues
- possibly offer some type of incentives to continue/submit such as badges, swag, licenses, tickets to conference
- skillset needed for attendees includes javascript, typescript, CSS, design, figma, accessibility interest

@PaulaPaul, the latest we can have people onsite at the 606 is 8:30. We will need to revisit agenda and perhaps start at 4 or 4:30 instead of what we originally planned for. Also, would like the groups feedback on some of our speakers potentially being remote and contributing virtually?
Thanks @mdacic01 - I've adjusted the strawman run of show in comments above to have the event open doors at 4:30pm, welcomes at 5:00, and doors closing at 8:30. We discussed this on the project-community call yesterday with @lwnoble and @aaronreed708 -
If there are virtual components I think that would be great if we can associate a Zoom webinar with the event. There were also individuals not in the Chicago area who were interested in joining virtually. The Welcomes and the Introductions/Challenges would be great for people to listen in on virtually, and we may be able to form 'virtual teams' to collaborate in the challenges as well.

4/17: Planning Meeting Notes
Maja updated the planning meeting occurrence to weekly in order to complete all planning by date of event. Strawman has been updated to reflect new time. First part is virtual/hybrid and then hands on stuff is in person only. Folks online can join informational via slack. Paula will create the zoom invite, and we will have all deck/material in a single source for ease of presenting.

5/08- As of this afternoon we have 11 RSVPs, of which potentially 5 are from people actually interested in the challenges. Due to low numbers we are changing the scope and cancelling the in person portion of the event.
I propose the following agenda for a virtual only educational celebratory session on 5/16 we can do it 60-90 mins:
- Discover Welcome and FINOS Welcome- 10 min (Dan)
- AnitaB Welcome - 10 min
- Education Session on Theme Builder:
- Yessel (Design, concepts) (10-15min)
- Technical overview Aaron/ Evan (10-15)
- Celebratory message from someone with an accessibility story (10-15 min)
- Closing with CTA to join community, mention upcoming mentorship, badges and look out for future hackathon/challenges around a11y themebuilder (10-15 min)
