Offer an appointment that happens only if a minimum number of participants is reached
Hi, a feature request: offer appointments that only can take place if a minimum number of customers particitpate.
Use Case
Similar to: http://help.bookeo.com/customer/en/portal/articles/82093-accept-deny-appointments-workshops-bookings-and-offer-a-workshop-that-runs-only-if-a-minimum-number-of-participants-is-reached
I would like to offer appointments for groups (guided tours, group events) but it make only sense if I have a minimum amount of participants (eg. given 5). Without the minimum number of participants the booking is cancelled. Is the minimum number reached, the booking is confirmed.
The minimum numer should be definable. ;-)
Questions for details or feedback welcome.
Best regards, Hendrik Eggers
Hello Hendrik,
thanks for your feature suggestion, sounds really interesting. It is only not clear to me when the appointment is going to be cancelled and if this should happen automatically. Because manually this can already be done with E!A v1.2.
This newest version allowes multiple attendants at the same time, which means that the admin could manually cancel an appointment if the attendants number is not sufficient.

Hi Alex,
thanks for your quick reply. Your question is a good one, as I didn't think about the timing.
short answer: configuration option per service: "minimum time before confirmation/cancellation"
- intervall (minutes, hours, days, months - selectable)
- sets the time before the bookable appointment at which E!A checks if minimum number of participants is reached
- if participants > minimum - confirmation
- if participatns < minimum - cancellation
- (it would be nice if the service provider and the admin get a BCC of confirmation/cancellation)
long answer: My first thought, when I read your message, was that the admin should not cancel the appointment manually. That would mean that the admin needs to control the booking situation more or less constantly. Which can get inconvenient.
So an adjustable time before the appointment should be configurable when E!A should check the appointment participant limit. (details see above)
Best regards, Hendrik
Ok I understand your point. In this case I would take the booking timeout value which already exists in the system and its somehow a time period before the appointment, where users shouldn't make changes (you'll find this in the backend/settings page).
The ticket is now marked as an upcoming enhancement.
