Sharing plans - revise add contributor and add collaborator procedures and wording for instructions

User are confused about the difference between Collaborators and Contributors.

In the short term, we should improve wording of on-screen explanatory text to make this difference clearer.

In the long term, we should improve the workflow for adding Contributors and Collaborators. Is this difference worth two separate workflows? Who makes use of the information Collaborator vs Contributor? Most Contributors are likely to be Collaborators as well and may want to view/edit the plan. Note that neither Collaborators nor Contributors are listed on the full download (including the cover sheet) of the plan.

Expected behaviour: In DMPonline, there are two separate tabs, one for adding Contributors and a Share for inviting collaborators with varying rights (edit, read-only, etc).

In DMPTool, there is one tab called Collaborators, with two different buttons, one for 'Add contributor' and another for 'Invite collaborators'.

Users are expected to read instructions and understand the subtle difference between these two categories, Contributor vs Collaborator.

Actual behaviour:

  • Users add Contributors
  • When they Share plan/Invite collaborators, they expect to see them listed to be listed under Contributors. In effect they expect a single list of people who have access to the plan.

The process of adding a collaborator is also prone to errors, at least on DMPonline.

It works smoothly for collaborators who already have a user account.

When collaborators who haven't already got user accounts on DMPonline/DMPTool get the notification message 'A Data Management Plan in DMPTool/DMPonline has been shared with you', they are taken through to the 'create an account' procedure. Users tend to type manually their organisation name rather than select from drop-down list and get error message 'The name you entered was not one of the listed suggestions'.

In the short run we could improve the wording to say, for example, 'Please select one of the listed organisations. If your organisation is not listed, select Other'.

In the long run, we should revise the whole procedure for adding Contributors/Collaborators.

Well this is how we revised it:

  • hide the tab of contributor
  • for every collaborator, look for a contributor with the same email, and show its rights in column "Contribution"
