Zoom Onboarding Experience Surveys

Open sherririllingux opened this issue 3 years ago • 22 comments

Overview

We need to create surveys at the end of each section of the Zoom Onboarding slides to gather feedback from new volunteers on their experiences during the onboarding process (about the process). So that we will get a more complete picture (higher response rate during onboarding than after).

Action Items

  • [x] Review the Zoom Onboarding slide decks
    • [x] Bonnie's presentation
    • [x] Self Paced presentation
  • [x] Find the end of each section in Bonnie's presentation and plan how the surveys will be integrated into the slides
  • [x] Discuss with team how people might give feedback on the self-paced slides that come after the Bonnie's presentation (informational part) - you might decide that it remains as is with a survey at the end only.
  • [x] Review the Google Form below as a survey example
  • [x] Keeping them short, create surveys for each section of Zoom Onboarding, referencing specifics from each section if necessary
  • [x] Review surveys with Lead and/or team members to gather feedback and to brainstorm additional questions that might be of value to ask
  • [x] Review surveys to be integrated in Zoom Onboarding slides with Research Lead and then Product team
  • [x] Work with Product team to integrate surveys into zoom4 account for upcoming onboardings
  • [ ] Update Action Steps spreadsheet with this issue being completed

Hi @sherririllingux.

Good job adding the required labels for this issue. The merge team will review the issue and add a "Ready for Milestone" label once it is ready for prioritization.

@sherririllingux good job making this issue. You are definitely headed in the right direction. I made come collaborative additions/revisions (which, by the way, is pretty typical for even experienced issue writers).

I updated some parts of the issue:

I edited the overview section just a little for clarity (I might have actually made it too long...)

We need to create surveys at the end of each section of the Zoom Onboarding slides to gather feedback from new volunteers on their experiences during the onboarding process (about the process). So that we will get a more complete picture (higher response rate during onboarding than after).

I added another presentation review requirement, because when the process was first reviewed by research, it was one slide deck. I also added the links to the Resources section

I also added this item, because you can't integrate the zoom survey into the self paced deck. But its worth looking at how it all fits together (since there is an after survey)

  • [ ] Discuss with team how people might give feedback on the self-paced slides that come after the Bonnie's presentation (informational part) - you might decide that it remains as is with a survey at the end only.

I updated this part to indicate whoever works on this should review their proposed surveys with their lead and then with product

  • [ ] Review surveys to be integrated in Zoom Onboarding slides with Research Lead and then Product team

I updated this part, to indicate that it's not a hand-over so much as it is working together to get the survey integrated.

  • [ ] Work with Product team to integrate surveys into zoom4 account for upcoming onboardings

I added this step (as per the wiki) so that once some is done with this issue, they will update the spreadsheet, keeping us from having to audit it all the time. I also added the link in the action steps spreadsheet - HfLA onboarding research in Resources section so that they could accomplish that.

  • [ ] Update Action Steps spreadsheet with this issue being completed

I added this section, to connect this with the wiki, in case people need other related documents

Research Plan assets

https://github.com/hackforla/website/wiki/Onboarding-Research

I removed the onboarding label (that's for this team's onboarding). I created a new label feature: Survey

I added a link to this issue on the wiki. You don't have to do it for all the issues, just the ones for research.

@vaisali89 I am going to move this issue for you, to the inprogress column. Next time you can do it yourself. Ask at a team meeting if you don't know how.

@vaisali89

Please add update using the below template (even if you have a pull request). Afterwards, remove the 'To Update !' label and add the 'Status: Updated' label.

  1. Progress: "What is the current status of your project? What have you completed and what is left to do?"
  2. Blockers: "Difficulties or errors encountered."
  3. Availability: "How much time will you have this week to work on this issue?"
  4. ETA: "When do you expect this issue to be completed?"
  5. Pictures (optional): "Add any pictures of the visual changes made to the site so far."

If you need help, be sure to either: 1) place your issue in the developer meeting discussion column and ask for help at your next meeting, 2) put a "Status: Help Wanted" label on your issue and pull request, or 3) put up a request for assistance on the #hfla-site channel.

Progress: Draft question for the survey ready for review. https://docs.google.com/document/d/1n1KInsUPAETTAH8UhScksXX8K9e-8VWv9MxQJ9AXWH4/edit

Blockers: What tool to use during the onboarding to send the survey to volunteers? Is Zoom polling an option?

Availability: 8 hours

ETA: July 3rd 2022

vaisali89 avatar Jun 26 '22 16:06 vaisali89

Progress: Reviewed and tested the Zoom Poll option. I think that would be ideal and most convenient to conduct the survey.

Blockers: How many onboarding sessions to conduct the polls in? How many participants per session?

Availability: 8 hours

ETA: July 10th 2022

vaisali89 avatar Jul 04 '22 17:07 vaisali89

Progress: Integrating the questions onto Zoom4. Blockers: Need to discuss the comfort level of Bonnie to launch the poll during onboarding. Availability: 8 hrs ETA: July 18th 2022

vaisali89 avatar Jul 17 '22 16:07 vaisali89

Progress: Added the questions into the onboarding deck and Zoom 4 as polls, ready to be tested on July 18th 2022.

Progress: Bonnie has collected data during 2-3 onboarding sessions. The data needs to be analyzed and findings need to be synthesized

Blockers: I cannot access the Zoom4 accounts (zoom and Gmail) due to security reasons because I'm in a different location. @ExperimentsInHonesty it would be helpful if you could link the survey data collected to the issue if possible.

Availability: 8 hours

ETA: September 11th 2022 ( provided I get access to the data by 4th Sept)

vaisali89 avatar Aug 29 '22 08:08 vaisali89

We looked into the zoom4 account and could not find any of the launched polls. So we will do a new poll test on 2022-09-12. Please remind Bonnie at next team meeting to export them into this issue or the drive.
