Emails coming from the webapp frequently end in spam

Open fltfx opened this issue 7 months ago • 1 comments

Problem

Email such as the RSVP emails that are sent out, and likely event the application confirmation email often end up in the recipient's spam folder.

Suggestions:

  1. Upon the applicant submitting their application (the form), the message in the webapp (sorry, I didn't have time to dig into what exact message is shown or if there is a message shown) should mention something like:

Thanks for your application... (blah blah). Our emails have a tendency to end up in spam, so please look in your inbox for a confirmation email that we have received your application (check your spam/junk folder!) and please add our email address ([email protected]) as a saved contact, so our next emails won't end up in spam!

  1. In the confirmation email, we repeat the message to add our email address to saved ones, so subsequent emails don't end up in spam. This should likely be the template that needs updating. templates/emails/organize/application_confirmation.html

hi @Mingodew09 , Suggestion #2 was actually already solved by another contributor: https://github.com/DjangoGirls/djangogirls/pull/1087

But Suggestion #1 can still be worked on:

  1. Look at https://djangogirls.org/en/nyc/, for example, and how they do their attendee registration:
  2. Figure out what happens after you press "Submit your application" on this form, for example, https://djangogirls.org/en/nyc/apply/
  3. It's a long time so I don't remember what happens after pressing that button (for you to investigate), but ideally it leads to a page or modal/popup that says something like or adjust as you see fit:

Please watch out for a confirmation email and add our email address to your address book, so that future emails do not go into spam. In the past, we have had many email invitations to the workshop go into spam and have had many applicants miss our invitation! We wouldn't want that to happen to you!"

This is the file you need to investigate: templates/applications/apply.html See what happens upon submit of this form ^

  1. On that page/modal, there should be a way to go back to the homepage for that city, so in the case of my example, back to https://djangogirls.org/en/nyc/

let me know if you need anything else. Thanks for contributing to our repo!

When emails tend to go to spam, there's things that can be done to help by adding DNS records for the domain.

I'm not sure who has access for that though.
